I would like it if I could get a phone photo from you,

of the area to evaluate the lighting conditions in advance of my visit to your premises.

 

Have you decided on using a backdrop so that  everyone has the same portrait background,

or will each employee be at their own desk ?

or do you have a location chosen for the individual portraits ? 

Most likely I will be bringing with me ,some daylight lighting and  flashes with a grid &  beauty dish lighting. 

Will we be taking a group photo ? Inside or outdoors?

Will there be photos of the interior, various rooms and exterior of the building?

is anyone arriving late or leaving early ,
allow time for spontaneous arrivals , meetings 
, phone calls ,appointments.

Save a parking space for the photographer

Are there loading zone restrictions in front of the venue?

Do you need to add the photographer to your parking APP 
or Guest parking permissions?
In advance please notify 
security ,receptionist, manager, 
of the photographers arrival


Photographer arrival time.

Be sure to have your employees schedules
cleared and decide on the order in which you 
want to shoot them. 
Have a list of their names prepared 
in shooting order for the photographer
and for the portfolio , presentation.


Practice posing in the mirror 
to ensure that clothing lays neatly.

Do you have to rearrange furniture?
Have a mental picture prepared for the group shots. 
Plan enough time for the setting up and rearranging.
Plan enough space for shooting the group.
Plan enough space for the portrait areas.
Try to have an idea where to shoot the portraits.
In advance of the photographers arrival,
clear the area of clutter , wires, boxes , books , etc 
IF YOU DO NOT WANT THE ITEMS IN THE SHOT.
 
The photographer will be using lights, flashes ,grids , reflectors ,umbrellas ,stands ,

tripods ,beauty dish,
and should have a table

to put gear and to work on.
Please try to plan and or

clear the space in advance 
or allow ample time for the set up.

Assign someone to assist

the photographer ,

Designate a photo helper:

 

To watch the door,

 

To keep an eye out for special shots

   to direct them to events , speeches, critical

         arrival and departure times

   to make sure your photographer is accurately directed

         to events at correct times

To arrange group shots, allow a few minutes to gather everyone.

To guide,ask participants to wait for the photographer

at arrival and departure times

to ensure that those special moments get captured

especially if using balloons or confetti or flower petals.
